Adventure Vehicle Rental Agreement — The Moose

It is the Renter’s responsibility to review this policy before renting the vehicle, in order to ensure that they will be able to drive it during their stay. No refund will be issued otherwise.

This agreement, which the Renter will have already reviewed prior to booking by confirming they have read it, will be signed in person upon taking possession of the vehicle.

2. Rented Vehicle

  • Vehicle: Ford Transit AWD converted camper van
  • Capacity: 3 persons for sleeping, (4 persons for transportation)
  • Equipment: seats with seatbelts (mandatory at all times while in motion), kitchen, bed, toilet, refrigerator, basic amenities for the stay, Starlink antenna for internet access

Passengers are strictly prohibited from moving around or occupying the living area of the vehicle while it is in motion. Climbing onto or standing on the roof of the vehicle is also strictly prohibited.

3. Authorized Drivers

3.1. All drivers of the vehicle must be at least 21 years of age at the time of taking possession of the vehicle.

3.2. Only declared drivers registered at the time of booking, whose driver’s license has been previously validated by the Lessor or their insurers, are authorized to drive the vehicle during the rental period.

3.3. Probationary driver’s licenses are not accepted.

3.4. The original driver’s license must be presented without exception at the time of taking possession of the vehicle.

3.5. It is the Renter’s sole responsibility to ensure that their license is valid for the entire duration of the rental. No refund will be issued if the Renter’s license does not allow them to drive the vehicle. For more information, please consult the SAAQ guidelines.

4. Rental Period

  • Check-in: Friday between 4:00 PM and 6:00 PM

Please note that it is not possible to pick up the vehicle outside of these hours.

Please note that upon departure, the time required to sign the documents and provide all instructions related to the rental will take approximately 30 minutes. Make sure you have already reviewed the guide and explanatory video received a few days before your departure, as this will facilitate and speed up the process.

  • Check-out: the following Friday between 9:00 AM and 11:00 AM

In the event of non-return at the scheduled time and without adequate communication, the vehicle will be considered unreturned and may be reported as stolen to the relevant authorities.

5. Pricing and Applicable Fees

The Renter acknowledges having reviewed the weekly rental rate, having made the corresponding payment, and having selected the applicable options or additional fees for their booking.

      • Included mileage : 1,200 km
      • Excess mileage fee : $0.35 per additional kilometer
      • Pet fee : $125 (non-refundable, upon prior request)

A security deposit of $2,500 will be pre-authorized on the Renter’s credit card on the day of departure at the time of signing the agreement.

  • The vehicle is provided to you clean and must be returned clean. A checklist is provided at departure. In the event of proven negligence, our team reserves the right to charge cleaning fees of up to $250 + taxes.

6. Cancellation Policy

  • Your reservation may be cancelled and the payment is fully refundable up to 30 days before your arrival date.
  • Within 30 days, the reservation cannot be modified or cancelled. The payment is non-refundable, however you may transfer your stay to a person of your choice.

7. Insurance and Liability

By proceeding with a rental with Repère Boréal, the Renter automatically subscribes to the insurance included with the vehicle. This coverage includes:

  • $2,000,000 liability insurance;
  • Coverage for vehicle damage in the event of an accident (accessories, removable equipment, and personal belongings are not covered);
  • A $2,500 deductible applies to any claim related to an insured loss;
  • The insurance includes one authorized driver by default. It is possible to add a second driver for an additional fee of $95, as well as a third driver for an additional $75.

The $2,500 security deposit will be pre-authorized on the Renter’s credit card on the day of departure at the time of signing the agreement. This deposit will be released after the vehicle is returned, provided it is returned in good condition and with no breach of the terms of this agreement. The security deposit may be released within a period of up to 14 business days depending on the banking institution.

Only standard Visa and Mastercard credit cards are accepted. Prepaid cards and debit-credit cards are not accepted.

The security deposit covers:

  • The insurance deductible in the event of an incident;
  • Any additional charges (excess mileage, fines, broken or lost accessories, vehicle damage).

In the event that the Renter is involved in an accident, the security deposit will be held for a minimum period of 90 days, or until the claim is fully settled.

No coverage applies in the event of:

  • Hit and run;
  • Dangerous driving;
  • Impaired driving.

The Renter’s personal belongings are not covered by the included insurance. It is recommended to obtain supplementary travel insurance.

The included insurance also provides access to a roadside assistance service including:

  • Vehicle towing up to 50 kilometers;
  • Fuel delivery (up to 10 liters);
  • Battery boost in the event of a dead battery;
  • Lockout service in the event of lost or locked keys;
  • Tire change;
  • Vehicle winching if necessary.

8. Itinerary and Overnight Locations

The Renter is authorized to freely explore the Charlevoix region, within the included mileage limit. However, overnight stays must strictly take place at the locations designated by the Lessor.

No off-road driving is permitted. In the event that an accident occurs in a location that does not comply with this rule, insurance will not cover the damages and the Renter will be held responsible for the full cost of repairs, towing, or any other related expenses.

9. Vehicle Maintenance, Condition and Return

Upon taking possession of the vehicle, it is the Renter’s responsibility to inspect the vehicle and identify any apparent defects, damage, or existing irregularities. The Renter is strongly encouraged to take dated photos/videos of the vehicle (interior and exterior) before departure and to keep them in case of dispute.

The vehicle will be handed over to the Renter in a clean condition, with a full fuel tank, emptied toilet, and full water tanks. The Renter agrees to return the vehicle in the same condition.

In the event of an unsatisfactory return (dirty vehicle, garbage left on board, unemptied toilet), cleaning fees of up to $250 may be deducted from the security deposit.

If the vehicle is returned without a full tank of fuel, a $50 fee will be added to the actual cost of refueling.

Before departure, the vehicle will be inspected by the Renter and an employee in order to document its initial condition. Any existing irregularity or damage must be noted at the time of key handover.

10. Equipment and Accessories

All equipment and accessories provided with the vehicle (utensils, bedding, tanks, refrigerator, camping chairs, etc.) must be returned in good condition. In the event of loss, damage, or non-return, the Lessor reserves the right to deduct all or part of the security deposit, based on the replacement value.

11. Prohibited Use and Restricted Equipment

The following are strictly prohibited:

  • Smoking inside the vehicle (a $1,000 fee will be charged in case of non-compliance);
  • Climbing onto or standing on the roof, as the ladder is decorative and the roof is covered with solar panels which must not be walked on;
  • Using the motorized winch;
  • Activating the off-road lights;

Any unauthorized use may result in the full retention of the security deposit.

12. Lost or Unreturned Keys

In the event of loss, damage, theft, or non-return of the keys, a flat fee of $500 will be charged to cover the replacement and reprogramming of the security system. Any additional costs related to immobilization or towing may also be claimed.

13. Tires and Punctures

The vehicle is equipped with seven (7) tires: two at the front, four at the rear (dual configuration), and one spare tire. All tires are inspected before departure.

In the event of a puncture or damage, the Renter must immediately notify the Lessor before taking any action. The vehicle must under no circumstances be driven with a damaged or underinflated tire. Fees may be deducted from the deposit in the event of negligence or unauthorized intervention.

14. Emergencies and Incident Procedures

In the event of a serious problem or accident, the Renter must:

  1. Contact emergency services (911) if the safety of persons is at risk;
  2. Immediately notify the Lessor following the incident.

An incident report must be completed without exception, regardless of the apparent severity or liability. In the absence of a report, the Lessor reserves the right to charge the Renter for the full cost of damages.

No external services (towing, repairs, replacements) may be engaged without prior authorization from the Lessor. The Lessor will provide the necessary assistance to the best of their ability.

15. Compliance with Laws and the Highway Safety Code

The Renter agrees to comply at all times with all applicable laws as well as the Highway Safety Code of Quebec or any other jurisdiction visited during the rental period. In particular, the Renter is required to:

  • Respect speed limits;
  • Wear a seatbelt;
  • Not use a mobile phone while driving without a hands-free device;
  • Not drive under the influence of alcohol, drugs, or any other substance impairing their abilities.

Any failure to comply with these rules may result in legal and financial consequences, including the cancellation of insurance coverage. The Renter is solely responsible for any infractions committed and assumes full responsibility for their consequences.

16. Coverage Limitations and Exclusions

16.1. The following are considered negligent use:

  • Use of the wrong type of fuel
  • Battery discharge caused by improper management of lighting or appliances
  • Damage related to overloading, off-road use, or improper connection of the refrigerator

16.2. Damage caused to interior equipment (refrigerator, stove, sink, toilet, etc.) is not covered. Replacement or repair costs will be the Renter’s responsibility.

17. Pets

Pets are accepted under certain conditions:

  • A fee of $125 applies per stay, non-refundable.
  • A maximum of two dogs is permitted per vehicle.
  • It is strictly prohibited to leave an animal alone in the vehicle with the windows closed.
  • For any damage caused by an animal (chewed seat, scratched furniture or flooring, etc.), the cost of repairs will be deducted from the security deposit.

18. GPS Tracking System

  • The vehicle is equipped with a GPS tracking device allowing the Lessor to monitor its location at all times. This system is used for security purposes, theft prevention, and compliance with the rental conditions, particularly regarding the reserved and authorized overnight locations.
  • Any attempt to disable, remove, or tamper with the GPS system is strictly prohibited and constitutes a serious breach of the agreement, which may result in penalties, additional fees, or legal proceedings.

18. Internet Access

The vehicle is equipped with high-speed internet access. This service is provided as a convenience and its availability may vary depending on the area or weather conditions. The Lessor does not guarantee constant or uninterrupted access.

The Renter is responsible for the equipment (antenna, router, cabling). In the event of damage, loss, or misuse, replacement costs will be deducted from the security deposit. The Lessor reserves the right to deactivate the service in the event of non-compliant use.
